Refrigerated truckload
Reefer Freight Cost per Mile: Build a Complete Rate
Model a refrigerated truckload from the entered linehaul, fuel and temperature-control terms without inventing a national live reefer rate.
There is no universal current reefer rate per mile. A defensible worksheet starts with the accepted lane-specific linehaul or all-in rate, then applies only the agreed fuel treatment and separate temperature-control, washout, stop, detention or accessorial amounts. As an arithmetic example—not a market quote—900 miles at an entered $2.75 per mile is $2,475 linehaul; an entered 26% fuel surcharge and $300 of other charges produce $3,418.50.
What changes the result?
A useful calculation starts with the physical scope and the written commercial terms. These are the factors to make explicit:
- Exact lane, dates and equipment
- Commodity and written temperature range
- Linehaul versus all-in rate basis
- Fuel-surcharge formula and effective index
- Pre-cooling, washout, stops, detention and monitoring
Use one scope for every quote
Give each business the same information and ask it to resolve the same boundaries. That makes the totals more comparable and exposes work left as an allowance or exclusion.
- Get the temperature specification in writing
- Enter the accepted commercial rate
- Add fuel only when separate
- Record equipment, sanitation and monitoring duties
A reproducible reefer worksheet—not a claimed market average
For the example, 900 miles multiplied by an entered $2.75 linehaul rate equals $2,475. An entered 26% surcharge adds $643.50 and an entered $300 for temperature-specific or other agreed charges gives $3,418.50 before any further origin or destination amount.
Replace every commercial input with the current carrier, broker, contract or rate confirmation. If fuel or reefer work is already included in an all-in rate, do not add it again.
Temperature control is a written operating specification
For covered food shipments, FDA rules address suitable equipment, sanitation, temperature control and responsibilities agreed among shippers, loaders, carriers and receivers. FDA guidance says a mechanically refrigerated compartment may need to be pre-cooled as specified by the shipper.
Record the commodity, required temperature range, continuous or start-stop instruction, pre-cooling, loading temperature, monitoring evidence, air circulation, seal, washout and rejected-load process. This page is a cost worksheet, not food-safety or legal advice.
Fuel and event charges need their governing terms
EIA publishes weekly diesel prices but explicitly says it does not calculate, assess or regulate carrier fuel surcharges. Use the base price, trigger, index week, peg and percentage or per-mile formula from the governing agreement.
Multi-stop service, driver assist, lumper, detention, redelivery, layover, washout and rejected-load handling can depend on actual events. Define free time, timestamps, approval and documentation before dispatch where possible.
Questions people ask
What is the average reefer freight rate per mile?
There is no defensible universal live rate. Lane, date, equipment, temperature, commodity, stops and capacity matter. Enter a current commercial rate rather than copying a national average.
How do I calculate a reefer load total?
Multiply the accepted linehaul rate by applicable miles, apply the agreed fuel treatment once, then add only the temperature-control and event charges outside that rate.
Is the fuel surcharge included in a reefer rate?
It depends on whether the offer is linehaul plus fuel or all-in. EIA supplies diesel data but does not set a universal surcharge formula.
Who sets the shipment temperature?
The responsible parties must define requirements in the governing instructions and agreements. Covered food transportation can carry specific FDA duties for shippers, loaders, carriers and receivers.
